Ask a specialist what actually eats the day and the answer is rarely medicine. It's the stack of faxes nobody has opened yet. It's the insurance form that needs three dates and two diagnoses you already wrote down somewhere. It's the pharmacist's question about a prescription you sent last Tuesday.

PocketEMR was built around that reality. Two features do the heavy lifting: an AI that reads every fax the moment it arrives and files it — referral here, pharmacy question there, urgent to the top — and an AI that fills out standard forms by reading the patient's chart, so a CPP Disability package starts as a draft instead of a blank page.

Sitting across all of it is SafeAI — an assistant you can actually ask about a real patient, because it runs on our own hardware in Canada and never sends a word to a cloud model. Find the patient, ask for the letter, download it as Word or PDF, or fax it where it needs to go.

Everything else is the modern EMR you'd expect underneath — charts, scheduling, clinical notes with AI transcription, e-prescribing straight to the pharmacy, and your own virtual fax number so none of it needs a machine in the corner of the office.

AI Fax Triage

Like having an office manager who opens every fax

Faxes arrive all day and they all look the same until somebody reads them. PocketEMR reads them — locally, on our own GPUs, the moment they land.

Each page is examined and the AI works out what it actually is, who it's about, and how much it matters. A referral from a family physician is recognised as a referral. A pharmacist asking about a dose is recognised as a question on a specific prescription. Something flagged urgent is moved to the top of the pile instead of the bottom.

Then it's filed: matched to the right patient, linked to the prescription it refers to, and dropped into the right inbox with a one-line summary of what it wants from you. You open your inbox to a sorted list, not a scanner tray.

Prescriptions leave with a code on the page. When a pharmacy faxes that page back, PocketEMR knows precisely which prescription — and which patient — the reply belongs to.

AI-Assisted Forms

The chart already knows the answers

Standard forms ask for things you have written down a dozen times: date of diagnosis, current medications, functional limitations, the date of the last visit. Typing them again is not clinical work.

Upload a PDF — a carrier's insurance form, a CPP Disability report, one of your own clinic's documents — and PocketEMR finds the fields, reads the patient's record, and drafts the answers into them. Long-form narrative sections get a draft written from the chart's own history, in clinical language, for you to edit.

What comes back is a completed form waiting for a physician to check and sign, instead of an empty one waiting for a physician to fill. The correction you make is a minute; the form you'd have typed from scratch was twenty.

One prescription, one fax

Write the medications a patient needs and they go out together, on one sheet, in one transmission. Renewing what you sent last time is a single click that brings the whole set back — not one medication at a time.

Your own inbound fax number

You get a virtual fax number of your own. Outbound prescriptions and letters go out from it, and anything faxed back to it arrives in PocketEMR — read, classified and matched. No fax machine, no separate service, no paper.

Pharmacists can just reply

Rather than faxing back, a pharmacist can answer directly into your inbox. Their question lands attached to the prescription it's about, so you see the medication and the question side by side and reply in a sentence.

SafeAI

A clinical assistant that never phones home

Every other AI assistant in healthcare has the same asterisk: your patients' information leaves the building. SafeAI doesn't have that asterisk. It runs on GPUs we own, inside the same Canadian environment as your records — hard-wired to local models only. No third-party AI provider, no API call out to a cloud model, no training on your data. Ever.

That's what makes it usable the way an assistant should be used. You can ask it about a real patient by name, because nothing about that patient goes anywhere.

Pull up a patient and ask for what you need in plain language — a consult letter back to the referring physician, a note for an employer, a summary of the last year for a specialist colleague. SafeAI reads the chart it already has access to and writes the draft. You edit it, and then send it the way you'd send anything else: download it as a Word document, save it as a PDF, or fax it straight to the destination without leaving the screen.
